 JOB PURPOSE:

The cleaner is responsible for maintaining cleanliness and hygiene in the workplace by performing routine cleaning tasks and supporting general operational duties as required.

 REQUIRED MINIMUM QUALIFICATIONS AND EXPERIENCE:

 DESIRED ADDITIONAL SKILLS/ COMPETENCIES:

  • Possess ability to understand and follow instructions.
  • Excellent time management and ability to complete tasks thoroughly.
  • Possess physical stamina for manual labour and extended periods of standing, bending and lifting.
  • Highly service orientated, proactive and detail orientated.

 KEY PERFORMANCE INDICATORS:

General Cleaning

  • Perform general cleaning duties, including sweeping, mopping, dusting, vacuuming and sanitizing surfaces
  • Empty trash bins and dispose of waste in accordance with company procedures
  • Maintain cleanliness of bathrooms, offices, kitchens and common areas
  • Follow cleaning schedule and procedures as outlined by supervisor

Replenish cleaning materials

  • Replenish cleaning supplies, toilet paper, hand soap, handtowels and other hygiene materials 
  • Replenish coffee, sugar, tea and milk 
  • Inform Facilities coordinator if any items are running out.

Meeting room preparation 

  • Ensure meeting rooms are cleaned daily and that coffee, tea, sugar, milk and hot water is replenished 
  • Prepare meeting room according to requirements 
  • Ensure meeting rooms have water 

Health and safety 

  • Ensure compliance with health and safety regulations and use cleaning chemicals safely.

 JOB PURPOSE:

The Facilities Officer is responsible for coordinating and overseeing day-to-day maintenance of our facilities at the refinery and ensure safety and physical condition.

 REQUIRED MINIMUM QUALIFICATIONS AND EXPERIENCE:

  • A National Diploma (NQF 6) in Facilities Management/Administration /Business Administration/ Contracts Management or equivalent is required.
  • A minimum of 3-5 years of experience in Facilities Management/ Office Administration is required.
  • Valid South African driver’s license required.
  • A bachelor’s degree (NQF 7) in Facilities Management/Administration /Business Administration/ Contracts Management or equivalent will serve as an added advantage.

DESIRED ADDITIONAL SKILLS/ COMPETENCIES:

  • Strong scheduling and Coordination Skills
  • Administration Support
  • Familiarity with building management software and facilities management systems
  • Sound knowledge of building systems, including HVAC, electrical, plumbing, generators, and water backup systems
  • Knowledge of property management regulations, zoning requirements, and construction standards
  • Understanding of procurement and contract management processes
  • Knowledge of maintenance planning and practices, including sourcing temporary labour services when required
  • Understanding of financial management processes, including budget planning and cost control
  • Knowledge of OHSA and facilities compliance standards
  • Strong negotiation, project management, and tactical planning skills
  • Proven stakeholder and vendor management capability
  • Strong analytical and numerical proficiency
  • Excellent verbal and written communication, presentation, and reporting skills
  • Technical report writing ability with strong MS Office proficiency
  • Proactive, well-organised, and detail-oriented with strong planning ability
  • Collaborative team player with initiative, conscientiousness, and a solutions-driven approach

KEY PERFORMANCE INDICATORS: 

Coordination of facilities management services

  • Oversee daily operations of soft services: cleaning, landscaping, pest control, waste management, catering, mailing, and utilities.
  • Purchase office consumables for the Refinery to ensure sufficient supply of groceries and stationery.
  • Conduct monthly stock takes to determine the level of stock is maintained and produce reports for submission to the Facilities Manager.
  • Preparation of tender documents for Manager approval
  • Coordinate maintenance schedules and ensure timely execution of work.
  • Coordinate facility inspections and preventive maintenance schedules to minimize downtime and optimize facility performance.
  • Oversee cleanliness of all buildings within the Refinery 

Contract and service provider management

  • Responsible for drafting scope of work and coordinating the approved Supply Chain Management (SCM) process
  • Monitor vendor performance and ensure compliance with service level agreements (SLAs) and quality standards.
  • Regularly evaluate service provider performance and make recommendations for improvements or changes as needed.
  • Maintain sound business relationships with service providers

Utilities & Municipal Accounts

  • Validate and audit municipal utility accounts.
  • Resolve discrepancies and liaise with municipalities on billing issues.
  • Capture consumption data monthly

 Health, Safety & Risk Compliance

  • Ensure compliance with OHSA and internal safety protocols.
  • Coordinate maintenance of the offices in accordance with Health and Safety Regulations
  • Ensure contractors are inducted for providing services at the Refinery
  • Conduct monthly inspections and maintain quality assurance records.

 Fleet & Asset Management

  • Oversee the company’s fleet operations and ensure optimal usage and maintenance.
  • Maintain asset registers and coordinate repairs or replacements.

Administration and reporting

  • Maintain accurate records of facilities operations, including budgets, inventory, and maintenance schedules.
  • Prepare monthly/quarterly facilities performance reports for submission to the Group Facilities Manager.
